Medical Assistant

Purpose/Description

Perform administrative and certain clinical duties under the direction of a physician. Administrative duties may include scheduling appointments, maintaining medical records, billing, and coding information for insurance purposes. Clinical duties may include taking and recording vital signs and medical histories, preparing patients for examination, electronic scribing during patient encounters, preparing prescriptions, and ordering tests.

Tasks

  • Record patients' medical history, vital statistics, or information such as test results in medical records
  • Prepare treatment rooms for patient examinations, keeping the rooms neat and clean and stocked with supplies in accordance with equipment and supply stocking procedures
  • Set up equipment, supplies, and tools necessary for surgical and cosmetic procedures
  • Interview patients to obtain medical information and measure their vital signs, weight, and height
  • Show patients to examination rooms and prepare them for the physician
  • Prepare and administer medications as directed by a physician. Example medicines include Botox®, Dysport®, dermal fillers, Kenalog, Candida antigen
  • Authorize drug refills and provide prescription information to pharmacies
  • Collect nail clippings, throat cultures, skin biopsies, blood, urine, tissue, or other laboratory specimens, log the specimens, and prepare them for testing
  • Navigate i-pledge system for isotretinoin patients
  • Explain treatment procedures, medications, diets, or physicians' instructions to patients
  • Clean and sterilize instruments and dispose of contaminated supplies
  • Prepare potassium hydroxide (KOH) examinations from skin scrapings
  • Perform general office duties, such as answering telephones, taking dictation, or completing insurance forms
  • Greet and log in patients arriving at office or clinic
  • Schedule appointments for patients
  • Help physicians examine and treat patients, handing them instruments or materials or performing such tasks as giving injections or removing sutures
  • Contact other medical facilities or doctors' offices to schedule patients for tests or obtain outside medical records
  • Inventory and order medical, lab, or office supplies or equipment
  • Change dressings on wounds
  • Inform patients of laboratory and pathology results and coordinate next steps in care

Patient Relations Front Office

Purpose/Description

Our Patient Relations Front Office personnel use multi-tasking abilities answering phone calls to the clinic, routing messages, making appointments, entering data in the EHR, greeting patients, checking patients in and out, collecting payments, and more. Employees in this role are often the first and final points of contact between our clinic and patients during a visit, playing a pivotal role in shaping an exceptional experience for our patients.

Tasks

  • Operate telephone system to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments
  • Direct calls and messages to appropriate staff
  • Greet visitors, ascertain purpose of visit, and direct them to appropriate staff
  • Ensure patient intake and consent forms are submitted complete
  • Compile and record electronic medical charts, reports, or correspondence
  • Schedule and confirm patient appointments, surgeries, and consultations
  • Operate office equipment, such as voice mail messaging systems, and use word processing, spreadsheet, or other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records
  • Maintain medical records, technical library, or correspondence files
  • Receive and route messages or documents, such as laboratory results, to appropriate staff
  • Transmit correspondence or medical records by mail, e-mail, or fax
  • Perform various clerical or administrative functions, such as ordering and maintaining an inventory of supplies
  • Hear and resolve complaints from customers or the public
  • Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents
  • File and maintain records
  • Provide information about establishment, such as location of office, services provided
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries
  • Process and prepare memos, correspondence, or other documents
  • Verify patient insurance coverage, and record copays and deductibles
